FYI Notifications, Vacation Rules, and Delegation

Explain the supporting mechanisms that keep approval workflows moving smoothly despite approver unavailability

Beyond the core approval routing logic, both EBS Workflow and Fusion's BPM-based approvals provide mechanisms to keep business processes flowing even when a designated approver is unavailable. FYI (For Your Information) Notifications are informational-only messages that don't block process progression — recipients can view them but the workflow doesn't wait for any response, useful for keeping stakeholders informed without creating unnecessary approval bottlenecks.

Vacation rules and delegation are like setting up mail forwarding and an out-of-office auto-reply before a trip: instead of important letters (approval notifications) piling up unanswered in your mailbox while you're away, they're automatically redirected to a trusted neighbor (delegate) or handled with a pre-set response, keeping everything moving instead of grinding to a halt.

Key Concepts

1
Vacation Rules (called by that name in EBS, and similarly available in Fusion) allow a user to configure automatic handling of their incoming notifications while away — options typically include automatically reassigning notifications to a delegate, automatically approving or rejecting them (used cautiously), or simply forwarding for informational awareness. This is a self-service feature users configure themselves through their worklist preferences, without needing administrator intervention for routine absences.

2
Delegation, distinct from vacation rules, allows a user to proactively designate another person to act on their behalf for approvals — sometimes permanently (like an executive assistant handling routine approvals) or temporarily — and differs from simple reassignment in that a delegation can be scoped to specific transaction types rather than blanket-forwarding everything.

Interviewers occasionally ask candidates to explain the practical difference between reassignment, delegation, and FYI notifications, and to describe why unmanaged approver unavailability (someone on extended leave with no vacation rule set) is a common real-world cause of business process bottlenecks that technical/functional teams get escalated to investigate.
